Executive Assistant

Company: MI Partner Health
Reports to: Chief Executive Officer
Location: On-site - Traverse City / Remote
Employment type: Part-time

About the Role

We are looking for a highly organized, discreet, and proactive Executive Assistant to support our CEO. In this role you will manage the CEO's inbox and calendar, protect his time, and keep his priorities moving. You will be a trusted partner who anticipates needs rather than waiting to be asked.

This position is designed to grow. As the company evolves, the role is expected to expand into supporting our entire executive team with the same level of service, so we are looking for someone who wants to build a scalable, high-trust executive support function.

Key Responsibilities

Email and Communication Management

  • Manage the CEO's inbox daily: triage, prioritize, draft responses, and flag items that need his direct attention

  • Draft correspondence on the CEO's behalf in his voice, and review for tone and accuracy

  • Handle incoming requests, introductions, and invitations, declining or redirecting as appropriate

  • Act as a professional point of contact for board members, investors, partners, customers, and employees

  • Follow up on open items so nothing falls through the cracks

Calendar and Schedule Management

  • Own the CEO's calendar: schedule, reschedule, and protect focus time in line with his priorities

  • Coordinate meetings across time zones and with external parties, including board members, investors, and partners

  • Prepare the CEO for each day with agendas, background materials, and key context

  • Anticipate conflicts and proactively resolve scheduling issues

  • Build recurring rhythms such as one-on-ones, leadership meetings, and board cadences

Logistics

  • Coordinate events, offsites, and executive meetings, including venues, catering, and materials

  • Process expense reports and manage related documentation

Administrative and Operational Support

  • Prepare briefing documents, meeting notes, and action item summaries

  • Assist with presentations, board materials, and internal communications as needed

  • Maintain organized files, contacts, and records

  • Handle confidential information, including financial, legal, personnel, and strategic matters, with complete discretion

  • Take on special projects that free up the CEO's time and support company priorities

Growth Responsibilities (Executive Team Support)

As the role expands, you will:

  • Provide the same inbox and calendar support to additional members of the executive team

  • Balance competing priorities across executives and coordinate shared scheduling

  • Standardize processes, templates, and workflows so support is consistent and scalable

  • Help coordinate leadership team meetings, planning sessions, and offsites

  • Potentially help onboard, mentor, or coordinate additional administrative staff as the function grows

Qualifications

Required

  • 2-5 years of experience as an executive assistant, ideally supporting a CEO or C-suite executive

  • Exceptional written and verbal communication skills

  • Expert-level management of email and calendar systems (Google Workspace)

  • Proven ability to manage complex, shifting schedules and prioritize under pressure

  • Strong judgment and the ability to handle sensitive information with discretion

  • Proactive, resourceful, and comfortable working with minimal direction

  • Excellent attention to detail and follow-through

Preferred

  • Experience supporting multiple executives at once

  • Experience in a fast-growing or healthcare-related company

  • Experience with board or investor communications

  • Bachelor's degree or equivalent experience

Core Competencies

  • Discretion and integrity: earns trust and keeps confidences

  • Anticipation: sees what is needed before it is asked for

  • Ownership: takes initiative and follows through to completion

  • Composure: stays calm and professional in fast-moving situations

  • Professional presence: represents the CEO and the company well at every touchpoint

  • Adaptability: thrives as scope and responsibilities evolve

What Success Looks Like

  • First 30 days: Learn the CEO's preferences, priorities, and communication style. Take over the inbox and calendar with minimal disruption.

  • First 90 days: Operate with a high degree of autonomy, with the CEO's time protected and aligned to his priorities. Begin documenting processes.

  • 6–12 months: Be ready to extend support to additional executives, with repeatable systems in place.
