This is a full-time position, flexibly scheduled. The Director of Finance’s overall responsibility is to establish and maintain the Foundation’s accounting systems to be in full compliance with Generally Accepted Accounting Principles (GAAP). This position focuses on achieving the Foundation’s vision to “remain financially self-sustaining to ensure that our mission is fulfilled every day.” As with all Foundation positions, in addition to strict confidentiality, it is expected that mission, core values and vision are exemplified by the individual filling this role. Salary range is $71k-$74k per year.
Specific Duties:
General:
- Maintains QuickBooks accounting & Network for Good donor database systems.
- Provides continuous efficiency improvements to QuickBooks and Network for Good donor system.
- Maintains written financial and accounting policies, procedures and internal controls.
- Oversees all assigned technical volunteers, working in the strictest of confidence regarding donor, client and Foundation confidentiality.
- Trains all staff and relevant volunteers as procedures are updated.
- Maintains general ledger accounts and reconciles monthly bank and investment statements. Routinely monitors bank accounts for unauthorized activity.
- Prepares accounts payable transactions including bills, credit card charges and expense report reimbursement with proper documentation.
- Prepares bank deposits.
- Reconciles all bank and credit card accounts.
- Prepares year end 1099 reports.
- Develops and maintains accounting practices for documenting in-kind donations, gifts and services.
- Maintains financial record keeping systems.
- Receives and distributes all incoming mail.
- Coordinates outgoing mail, including preparation of bank deposits.
- Prepares and files legally required reports and applications.
Payroll and Benefits:
- Prepares biweekly payroll via Paychex including payroll reports, W-2 and 1099s
- Submits tax payments, IRA deposits and annual Workers Comp audit.
- Tracks and maintains PTO records, FSA contributions and distributions.
- Assists with new employee orientation and coordinates benefit administration.
Board, Finance Committee and Staff:
- Generates monthly, quarterly and annual financial, donor and client activity reports.
- Generates reports to assist in forecasting quarterly expenses and revenue figures, so adjustments can be made to reach budget targets.
- Routinely presents financial reports to the Executive Director, Staff, Treasurer, Finance Committee and to other committees as requested.
- Drafts the annual budget in collaboration with the Executive Director.
- Defines budget to categories (program, fundraising and administration) and generates accurate efficiency ratio report.
- Serves as lead staff on the Finance Committee.
Events, including gift cards and vouchers:
- Develops controls and written procedures and is responsible for implementation.
- Oversees staff and volunteer implementation of procedures and controls for each event.
- Maintains and documents cash handling and accounting records for each event.
- Inventories and controls gift cards and vouchers
Audits:
- Fulfills Finance Committee requirements related to audit policies and procedures.
- Interfaces with external auditor and oversees annual audit process.
- Year end audit preparation.
Other duties as required.
Entry Requirements:
- Bachelor’s or Associate’s Degree in finance or accounting; CPA preferred
- Proficiency in MS Office Suite
- Proficiency in QuickBooks or other similar programs
- Familiarity with GAAP compliance
- Expertise in General Ledger, AP, and accounting practices
- Strong verbal and written communication skills
Working Conditions:
- Works in well lighted, clean, smoke free surroundings.
- Work is subject to frequent interruptions.
- Work is occasionally very fast paced, with tight deadlines and periods of high stress.
Physical Requirements:
- Manual dexterity sufficient to operate a multi-line telephone system, keyboard, copier, scanner, calculator and other office equipment.
- Sitting and/or standing for long periods of time.
- Standing, stretching and stooping to reach files and office supplies.
- Occasional lifting of files and paper to 25 pounds.
- Viewing computer screen for long periods of time.
