Position Summary: The Campus Safety & Transportation Office Manager is responsible for ensuring the smooth and efficient operation of the Welcome Center and other Campus Safety, Transportation, and Travel workspace by overseeing administrative tasks and managing office resources. The Office Manager supervises Travel Office staff, assists in implementing internal Campus Safety, Travel, and Transportation processes and procedures, maintains records, and works closely with other department leaders and both ICA and external partners and stakeholders.
Essential Duties and Responsibilities:
Models the Interlochen's core values and champions the mission and vision of the organization.
Provides administrative support to the Campus Safety Director and Assistant Directors.
Procures and manages the inventory of department supplies, materials, and equipment.
Supports department supervision and leadership in scheduling and coordinating training events and activities. In conjunction with Human Resources, maintains training records.
Assists and supports the Director and Assistant Director in developing and maintaining departmental documents, electronic files, records, and other materials.
Provides effective liaison between Campus Safety, other Interlochen units, and other external service providers related to office operations, facility maintenance, and infrastructure needs.
Prepares department correspondence, presentations, and reports.
Supervise and lead a team of Travel Coordinators, providing guidance and support as needed.
Provides direction and support to Travel Coordinators in managing student and camper travel and transportation needs.
Exercise judgment in supporting the response to daily procedural travel-related questions.
Assists the Director and Assistant Directors in developing, administering, and documenting the assigned budget; assists with forecasting additional funds needed for equipment, materials, and supplies.
Assists with and provides required fingerprinting services as needed.
Assists with the creation and maintenance of department-issued Interlochen identification cards.
Complies with ICA policies/procedures and is a good steward of ICA finances.
Respects the culture, diversity, and rights of all students, their families, and the community.
Prioritizes duties in a manner consistent with organizational objectives and growth.
Performs other duties as assigned.
Work Environment:
Work is performed primarily in a standard office environment with extensive internal and external stakeholder contact.
Required Experience:
Education: High School Diploma/GED/or High School Equivalency required.
Experience:
A minimum of three (3) years of relevant office experience is required.
Previous experience in a record-keeping or office management role is preferred.
Prior experience with safety, security, travel, and transportation environments is preferred.
Experience in a school or campus setting is preferred.
Equipment Familiarity:
Mac Laptop, Google Suite, MS Office Suite, Informacast, Crossmatch, Lenel, and other technology infrastructure.
Knowledge, Skills, and Abilities:
Demonstrated experience in complex travel and transportation systems.
Demonstrated cultural awareness, including knowledge of themselves and the cultural lenses they bring to interactions. Ability to understand different perspectives, interact respectfully with cultures other than their own, and cultivate meaningful relationships with people with different cultural frameworks.
Communicate effectively with students, faculty, staff, administrators, parents and guardians, alumni, trustees, and independent contractors.
Ability to supervise, develop, and motivate a team.
Ability to build effective relationships both within and outside the institution.
Display integrity, supported by a positive social and business presence, can represent Interlochen to all stakeholders within and outside the community.
